We are a private wealth management company focused on financial planning and retirement needs of high net worth clients in Oakville and throughout Canada. We provide financial planning services, investment management and insurance services

Key Responsibilities

  • Answering incoming calls, respond to caller's inquiries in a positive & professional manner
  • Greet, assist and direct all visitors to the seating area.
  • Pick up the mail and forward to the branch manager or associate branch manager. Drop off the external mail to the closest mail box
  • Prepare packages and arrange courier pick up (FedEx, UPS…)
  • Arrange boardroom schedule and bookings; ensuring boardrooms are kept tidy and ready for use at  any time; maintaining agendas
  • Update phone and distribution lists when required
  • Maintain a clean, safe, fully stocked and well organized reception and kitchen area (reception area: dust, finger prints, coffee cups, water bottles; kitchen area: filling and emptying the dishwasher, etc)
  • Assist with projects/administrative duties as required by other administrative support (such as: meeting planning, placing catering orders, data input, filling, labels, bulk mailing, scanning, photocopying, statements/reports, invoices, managing expenses reports, etc.)
  • Complete other duties as assigned
  • Ensuring knowledge of personnel whereabouts and maintaining exact and complete sign-out/sign in procedures for consumers and onsite staff
  • Uphold and promote the organization's values and philosophy relating particularly to ethics, morality, and integrity as set out in our Code of  Conduct
  • Handling other administrative duties that may arise

  • Excellent computer & internet navigation skills a must; Proficiency in MS Office products, Word, Excel and Outlook
  • Capable of handling multiple demands on an on-going basis while maintaining flexibility and adaptability
  • Excellent oral and written communication skills
  • Exceptional relationship skills
  • Superior client service and problem-solving skills
  • Past experience with securities and/or insurance is a strong plus, but not required
